- Log in Webmail (OWA) with your NetID and Active Directory password.
- In the upper right corner, click your name and select Open Other Mailbox from the pop-up menu.
- In the Select mailbox field, enter the shared mailbox address, for example: “charts@library.illinois.edu“, then click Open.
- The email address will be validated and converted into its display name, for example: “charts@library.illinois.edu” will be converted into “Map Library“, click Open again.
(Note: this is only needed for the first time login, after that the Webmail will “remember” it and automatically convert the name for you.)) - The Webmail (OWA) will ask you to select the appropriate settings, click OK. (Again this only appears at the first login.)
- The Webmail (OWA) will refresh and load the shared mailbox, notice that the account name in the upper right corner will be the display name of the shared email account (e.g. “Map Library”) instead of your own name. All the folders and emails in this account are available.
- Click Options, then select “Set Automatic Replies” or “Create an Inbox Rule” or anything else if desired. These rules will be set as server-side rules, so no matter what you use to access the account or how many people share the account, the same rule will be applied.
- You can use the same process to go back to your own account or go to another shared account.
