Expectations for Library Employees

The following are employees expected contributions to the University of Illinois Library broken down by employee group.

Academic Professional and Civil Service Professional
  • Fulfill job responsibilities outlined in position description.
  • Take the job seriously and perform at the highest level of your ability.
  • Treat your supervisor, employees, and fellow co-workers with respect.
  • Report to work, return from breaks and lunch, and leave the office at the appropriate time. Tardiness or leaving early negatively impacts your co-workers.
  • Hours worked must be reported in ½ day increments using the Vacation and Sick Leave Reporting Portal.  Inaccurate reporting may result in discipline up to and including termination.
  • Positive time reporting is necessary. It is required to report all hours actually worked, even if you have reported the use of benefits. This is separate from the Vacation and Sick Leave Reporting Portal.
  • Ensure you understand the expectations and process for requesting leave.
  • Discuss the schedule for potential breaks and lunch periods with your supervisor.
  • Communicate availability for meetings and unit services through norms established by the unit, and respond to meeting requests promptly.
  • Respond to email messages and other communications in a timely fashion.
  • Hybrid (on-site and remote) work arrangements are to be made and reviewed under library processes.
  • A minimum of two-weeks notice is generally expected when resigning from the position.
Civil Service Eligible for Overtime
  • Fulfill job responsibilities outlined in position description.
  • Take the job seriously and perform at the highest level of your ability.
  • Treat your supervisors, employees, and fellow co-workers with respect.
  • Report to work, return from breaks and lunch, and leave at the appropriate time. Tardiness or leaving early negatively impacts your co-workers.
  • Hours worked must be reported in 1/10ths of an hour and submitted bi-weekly for approval. (see chart below)
  • Any overtime must be discussed and agreed upon by the employee and the supervisor.
  • Accurately report the hours actually worked.  Inaccurate reporting may result in discipline up to and including termination.
  • Ensure you understand the expectations and process for requesting leave.
    • If your classification is represented by a union, those with seniority are given priority when a conflict with business operation and staffing arises.
  • Discuss the schedule for your breaks and lunch periods with your supervisor.
  • Communicate availability for meetings and unit services through norms established by the unit, and respond to meeting requests promptly.

Faculty
  • Fulfill job responsibilities outlined in position description.
  • Treat your employees and fellow colleagues with respect.
  • Maintain balance of work between the three areas of librarianship, research, and service.
  • Participate in on-site public service and other activities essential to unit operations.
  • Work with unit head or supervisor to establish general availability for both job-specific and unit-wide shared responsibilities, in a way that equitably supports unit operations with colleagues.
  • Meet regularly with the Unit Head, Director or appropriate Associate University Librarian to report on activities, and inform of general work areas and accomplishments.
  • Hybrid (on-site and remote) work arrangements are to be made and reviewed under library processes.
  • Establish a work schedule that provides predictable and appropriate access.
  • Clearly communicate changes in availability (e.g. use of benefits time) which might impact unit operations and provision of services related to librarianship.
  • Communicate availability for meetings and unit services through norms established by the unit, and respond to meeting requests promptly.
  • Respond to colleagues and library users email messages and other communications in a timely fashion.
  • Arrangements for research time must be consistent with the Library Research Time Policy.

Hourly Employees

  • Take the job seriously and perform at the highest level of your ability.
  • Treat your supervisor and fellow employees with respect.
  • Establish a work schedule that does not interfere with your class schedule/other obligations.
  • Notify your supervisor in advance of any changes to your work schedule or other commitments that will affect work availability.
  • Give advance notice when you are unable to work a scheduled shift.
  • Report to work on time. Notify your supervisor in advance of any possible delays.
  • Accurately report the hours you work. Falsifying your timesheet is a federal offense.
  • Give two weeks’ notice if you will be resigning.
