Minutes Details

Minutes

  1. Approval of 11/28 minutes (taken by Kelli)
    1. Approved with no edits or corrections
  1. Collections discussion
  1. Updates/Progress on any collection visualization report action items
    1. Zero circ monographs to Oak/Stacks
      1. Sarah reported back that at least at this time we cannot transfer our older zero circ monographs to Oak Street. Instead, Mary Laskowski, Cherie’ Weible, and Tom Teper recommended (1) de-duplicating serials already in the Shared Print Repository (SPR) or transferring serials needed for the SPR, (2) de-duplicating serials and monographs shared with Oak Street or Main Stacks.
      2. For de-duplication projects, it’s important that the catalog accurately reflect our collection. We did complete an inventory in Funk ACES in 2018.
      3. For some significant titles, it might be better for them to be in Funk ACES than in Oak Street, because sometimes items have been withdrawn from Oak Street that shouldn’t.
      4. For duplicates between Main Stacks and Funk ACES, we would prefer the remaining copy to be in Funk ACES.
    2. Compact stacks/serials space assessment
      1. Erik has measured the available space in Funk ACES Compact Stacks (including and excluding the staff area).
      2. We need to keep in mind that the Compact Stacks shelves should not be filled more than 83-85%.
      3. It might be good to review what is currently in the staff area. Also we need to investigate how the compact stacks are sectioned – Can we pick any number of shelves to be closed for a staff area?
      4. We discussed some of the benefits and drawbacks of starting the move with higher or lower call numbers.
      5. Could be useful to know what blocks of space could be freed, perhaps by floor, so that we would know what more we could do in each area. This might be good to tie in to an environmental scan of Funk ACES.
      6. Decided it would be good to have a working group to discuss this project in more depth. Susan, Erik, and Lucy volunteered, and they will pull in other people, as necessary
    3. High circulation of items in non-circulating locations
      1. Lucy has communicated with MJ and will talk again with MJ.
      2. Susan will explore BeanCounter to see if we can identify these titles ourselves.
  2. Discuss how to handle “important” titles (e.g., PRI/survey publications, Illinois soil surveys) in, for example, a big de-duplication workflow
    1. Perhaps Funk ACES should retain the historical output of departments we serve (e.g., Illinois Biological Monographs, Extension publications). Other considerations include: whether all volumes are together or split across locations, and if a title is available online.
    2. To start considering this, we will try to compile (on the G drive) a simple list of titles that we would want to keep in Funk ACES, perhaps with some historical context. We’ll revisit this once we have some titles pulled together.
  1. College of Medicine update
    1. Remove as standing agenda item for future meetings
  1. Committee assignments and reports – AC, CDC, others
    1. Reference Management Team (Melody)
      1. Reminder about the Reference Universe trial
      2. Reference survey for all patrons (e.g., chat, email, in-person) in Spring semester
      3. Subject specialist access – moving away from division break down on LibCal scheduling
      4. Melody is serving on a couple of subgroups, and she has shared information about other library sites she has studied. One of the groups is also exploring subject descriptions, and it was noted that subject descriptions and departmental liaison responsibilities are both important.
  1. Round Table
    1. Skipped
  2. Adjourn
