Placing Materials on Reserve

Please note that reserve requests submitted for the Funk ACES and Grainger Engineering Libraries are processed by the staff of those libraries, not Collection Management Services. Therefore, any questions or problems relating to Funk ACES or Grainger Engineering reserves need to be directed to the appropriate staff in that location.
If you wish to place materials on reserve at any location not included in this list, please contact the staff at that library directly.

Electronic Reserve Request Forms
Reuse Request Webform | MSWord
Starting Summer 2013, all e-reserves will be accessed through the new Electronic Reserves System.
- New e-reserves can be submitted directly within the new Electronic Reserves System.
- The webform is only for requesting that previous e-reserve lists from the old system be reused.
- Acceptable formats for textual e-reserve material that are not available online (e.g.: book chapters) include: PDF and photocopies.
- Photocopies must be submitted at the Undergrad Library or Central Circulation (Main Library), with the MSWord form.
Audio e-reserves are now processed by CMS in collaboration with the Music and Performing Arts Library.
Help using the new e-reserve system can be found at our Reserves Libguide.

Submitting Reserve Requests
Reserve requests may be submitted in one of five ways
- New e-reserves can be submitted directly within the new Electronic Reserves System. Click for help with the new reserve system.
- Via the appropriate webform above.
- The list may be typed (or printed clearly) on the appropriate MSWord form above and submitted in person at the appropriate library.
- E-reserve requests may be submitted at either the Undergraduate Library or at Central Circulation in the Main Library.
- Forms are available at the service desks of the appropriate libraries.
- Emailed to the appropriate address below. Please send a separate email for each course and format (e-reserves, books, or media).
- The list may be typed (or printed clearly) on the appropriate MSWord form above and mailed directly to us at: CMS, Main Library, MC-522.
- For Funk ACES Library or Grainger Engineering Library, contact their staff for mailing information.
Please note that we have no public service desk to meet with you in person, and telephone requests are not accepted due to the complexity of the information required.
Submitting physical materials
- Webforms cannot be used when submitting physical materials--photocopies for electronic reserve, or personal copies for book or media reserve.
- Please submit photocopies for e-reserves at the Undergrad Library or Central Circulation (Main Library), with the appropriate MSWord request form.
- Please submit personal copies at your preferred reserve location, with the appropriate MSWord request form.
- Forms are available at the service desks of the appropriate libraries.
Online ticketing system
- Our online ticketing system tracks all reserve requests except when you submit directly in the new reserve system.
- Requests submitted through webforms and email are automatically logged.
- Requests submitted in person are manually, generally the following business day.
- Our online ticketing system automatically generates a request received email for all requests.
- If you do not receive a request received email, we did not receive your submission.
Reserves do not become active in advance
- Reserves become active one week before the first day of classes.
- Until then, reserve lists will not be accessible through the online catalog.
- Instructors can see past and future e-reserves within the new system.
Reusing Reserves
Many faculty/instructors find it convenient to use most of the same reserve materials each time they teach a class. To make this easier, we email all of our current instructors toward the end of the semester asking about carrying over reserve materials.
Reusing E-reserves
- You can reuse e-reserves from any semester, instructor, or course.
- You can reuse any past e-reserves list by simply submitting the E-reserve Reuse Request Webform.
- You can reuse current e-reserves directly within the new e-reserves system--including choosing which items to reuse. However, this only applies to materials that were processed in the new system.
- You do not need to submit photocopies for reused e-reserves.
Carrying Over Physical Reserves
- You can reuse current physical reserves by replying to the "Reserves carry-over question" email you will receive each semester, and providing the requested information.
- For reserves from previous semesters, we ask that you submit new lists using the forms above (as we don't have a database that tracks past physical reserves).
