Acadmic Hourly

Academic Hourly Positions

Academic Hourly employees are appointed on a temporary or intermittent basis and are paid bi-weekly for only the hours actually worked. If more than 40 hours are worked in any given calendar week, the employee is due overtime pay. Academic Hourly employees should not be a registered graduate or undergraduate student at the University of Illinois, or be doing clerical work as part of their assigned duties. A bachelor’s degree or higher is required.

Academic Professional Positions

Academic Professionals are those members of the academic staff whose positions have been designated to meet specialized administrative, professional, or technical needs, and are exempted from the State Universities Civil Service SystemThese positions require a minimum of a bachelor degree.

Faculty Positions

Faculty members teach, conduct research, and engage in public service projects. Tenured faculty members hold indefinite tenure in one or more campus units and hold the title “Associate Professor” or “Professor.” Tenure-track faculty members are seeking tenure and hold the title “Assistant Professor.”

Civil Service employees work in numerous areas of employment, including administrative, administrative support, crafts & trades, education & student services, research, service operations, technical and off-campus.

Graduate Assistant

Graduate students may be appointed to a monthly-paid graduate assistantship. Once you have completed a graduate assistant (GA) application form, you may contact the position’s supervisor directly for position inquiries. First priority for graduate assistantships in the University Library is given to students enrolled in the School of Information Sciences. University Library Graduate Assistantships range from .25 (10 hours/week) to .50 (20 hours/week). Students must be appointed between 25% and 67% for 91 or more continuous days in order to qualify for a Tuition Waiver.

Graduate Hourly

Graduate students registered for any campus of the University of Illinois may be appointed as a Graduate Hourly, which pays on an hourly basis for temporary special projects. The student must be registered in the Graduate College for the semesters of the appointment. These appointments do not provide a tuition waiver. The University Library’s minimum wage is $15 an hour.

Once Offered a Position with the University Library

Obtaining your Social Security Number (SSN) is a time-sensitive process and should be completed within 30 days of Library HR issuing the Letter of Employment Verification.

Please review the Office of Student Financial Aid- Student Employment’s Guidelines & Policies regarding your Enrollment Requirements and Maximum Work Hours.

Please also review the Office of Student Financial Aid- Student Employment’s Rights & Responsibilities, including those you agree to adhere to when accepting employment.

Library Human Resources (HR) will contact you via e-mail to schedule a New Hire Appointment. Please review the steps below. These will also be outlined in the New Hire email. and if you do have any questions you may respond to the New Hire email, or reach out to Library HR’s Hourly Employment Coordinator, Grace Flavin at: gflavin@illinois.edu.

Hourly Employment New Hire Appointments-

The new hire process takes approximately 1 hour.  Please be certain to allow this amount of time when scheduling your appointment.

In order to be added to the University payroll, if you are not already employed on campus, you will be required to document eligibility for employment as required by the Immigration Reform and Control Act of 1986 on, or before your first day of work, by completing an I-9 verification form. Please bring physical/original documents that verify both your identity and work eligibility.

This can include:

One document from List A; OR

One document from List B AND one document from List C

You may review the U.S. Department of Homeland Security website to view the Form I-9 Acceptable Documents.

International students may also find it helpful to reference the Combination Documents on the Department of Homeland Security website when determining the documents to bring to your Appointment.

Regardless of the document(s) you choose for the I-9, you must also bring documentation to verify your Social Security Number and your Full Name as it appears on your Social Security Card.

If you are an International Student and do not have a Social Security Card yet, Library HR may obtain a University Temporary Control Number (TCN) for you until you obtain one.

Federal tax regulations require us to request a Social Security Number (SSN) from every employee to whom compensation is paid. Employee SSNs are maintained and used by the University for payroll and benefits purposes and to verify employment history, and are reported to Federal and state agencies on forms required by law or for benefits purposes. The University will not disclose an employee’s SSN without the consent of the employee to anyone outside the University except as permitted or required by law or as required for benefit purposes. Failure to provide an SSN may result in the withdrawal of an offer of employment and/or the denial of benefits. Bring your USA banking information (account number and routing number for your financial institution) to the appointment to set up your direct deposit and be prepared to complete your W-4.

The University of Illinois requires direct deposit for all pay transactions.

Part of your New Hire ‘paperwork’ will include claiming your withholding as well as setting up direct deposit for you to be paid.

University offices cannot give you tax advice or recommendations for how to complete your withholding certificates. Contact the Internal Revenue Service, Illinois Department of Revenue, your state website, or a tax professional for advice.

If you are an International Student, BEFORE your New Hire Appointment, please be sure you have:

Completed the International Student Check-In with the campus Office of International Student and Scholar Services (ISSS), if you did not already complete the Check-In when you arrived, to assist in confirming the conditions/circumstances that may apply to your status and employment eligibility.

AFTER your successful New Hire Appointment, if you do not have a Social Security Number (SSN) yet, you will need to follow the steps outlined on the ISSS website to obtain one.

Library HR can provide you with a Letter of Employment Verification.

This will enable you to submit the SSN Document Request eform through iSTART obtain a letter of ISSS letter of Eligibility to apply for your Social Security Card.

Extra Help employees are appointed to fulfill casual or emergent needs within units. The amount of time for which services are needed is not usually predictable and payment for work performed is on an hourly basis. Extra Help employees should not be a registered graduate or undergraduate student at the University of Illinois.
