Getting Equipment and Workspace for Your New Employee

Before a new employee begins working, it is important that their workspace is ready and they have the electronic access/permissions needed to do their job.

Academic Professional, Civil Service, & Faculty

Supervisors should submit two forms that help Library IT and Facilities prepare for your future hire. These forms create tickets in the TeamDynamix IT and Facilities queues.

1) Workspace Readiness Form. Supervisors, please fill this out as soon as you have approval to fill or search a position so that IT & Facilities have as much lead time as possible in case repairs or upgrades are needed to the workspace. 2) New Employee Starting Form. Supervisors, please fill this out as soon as your candidate accepts the employment offer (this is also included as an item on the checklists below). It collects specific information about the new hire’s name, start date, etc. The form is located here: go.library.illinois.edu/new_employee

After you have submitted the 2nd form, it is usually the time to begin using the New Employee Onboarding Checklists. For questions, please contact Library Human Resources at libraryhr@library.illinois.edu.

Graduate Assistant

Please submit a ticket to facilities if you need assistance regarding furniture, keys, or swipe access for your new employee. Please submit a ticket to Library IT if you need electronic equipment (computer, keyboard, phone, etc.), permissions, or access for your new employee.

Hourly Employees (Academic Hourly, Extra Help, Graduate Hourly, & Student)

Please submit a ticket to facilities if you need assistance regarding furniture, keys, or swipe access for your new employee. Please submit a ticket to Library IT if you need electronic equipment (computer, keyboard, phone, etc.) for your new employee. Electronic permissions and access should be requested through JOYCE when the position is requested, instructions are available on the Requesting a Position for a Hourly Employee page.
