Approving Time Reporting for Non-Exempt Civil Service and Hourly Employees

General Information
  • The departmental supervisor is responsible for the reviewing the timesheets for accuracy and approving the timesheet by the given deadline.  Banner Self-Service provides access for Time Sheet Entry.
  • Approvers cannot approve their own time. If an Approver is also an hourly employee required to submit time, a Proxy or Superuser other than the designated Approver must approve the Approver’s time.
  • Approval of timesheets is generally due the Friday at the end of the pay period unless otherwise noted due to Holiday schedule.  Please see full calendar  https://www.obfs.uillinois.edu/payroll/schedules/
  • The following errors could cause delay of payment
    • Timesheet not submitted by employee
    • Timesheet not approved by supervisor
    • Inaccurately reported time
    • Timesheet submitted after the deadline

Approval instructions

    Banner Self-Service
    Click on the “I” for our campus
    Three cards will show, click on the Employee self-service card – Employee Dashboard
    Right side under My Activities – click on Approve Time
    Top right – click on Proxy or Super User
    Under Act as a Proxy for:  click on Kim Hutcherson (down arrow if you have other choices)
    Click on the blue box at the bottom right Navigate to Time & Leave Approvals application
    Scroll down and you will see the list of employees under the org codes you approve.
    Click on the employee’s name and you will be able to preview the timesheet.
    The approve is at the bottom right.  There is also a return for correction.
Shift Differential
  • When employees in GROUP H classifications are assigned to a shift by the University that requires a majority of the hours worked to occur after 5:00 p.m. and before 6:00 a.m., the employee(s) shall be paid, in addition to their basic straight time hourly rate, a differential of fifty cents (50¢) per hour for all hours worked on the shift.
  • Timesheet entry as Premium Rate 50
