Policy Regarding Presence in Library Buildings After Hours

The Campus Administrative Policy restricts use of University buildings after official hours to those members of the faculty and staff who have authorized use of University building keys or other access control devices (cards, etc.)  This policy elaborates on after-hours use of Library buildings and spaces.

  1. The safety and security of staff and security of collections is paramount.
  2. Library faculty and academic professionals need after hours access to the building in order to meet research and publication requirements and to fulfill their responsibilities in librarianship and service.
  3. Some staff may need entrance after hours to carry out job responsibilities that can only be carried out after hours (e.g., facilities monitoring, server maintenance, etc.).
  4. Some units (e.g., Rare Book, Oak Street) may require further restrictions on access not delineated here.

BUILDING REGULATIONS

The Office of Facility Management and Scheduling establishes opening and closing hours for university buildings: authorized personnel may use buildings after hours; unauthorized personnel will be reported to responsible department head.

Campus buildings are open and closed in accordance with the Opening And Closing Order for Buildings which is published each fall by the Office of Facility Management and Scheduling. Requests for changes in the times buildings are opened and closed should be directed to that office.

When the buildings are closed, all exterior doors are locked and heating and ventilating service is reduced to a minimum. The use of University buildings after official hours is restricted to those members of the faculty and staff who have authorized use of University building keys or other access control devices (cards, etc.). Such persons, however should carry University identification cards and are expected to identify themselves upon request to University Police, University officials, or other building security personnel.

Department heads or their designees may extend the privilege of use of a building to other persons providing the work to be performed by such persons is necessary to the departmental program. Persons who are extended the privilege must carry a signed letter of permission from the department head to show to any University official who requests it. The University Police Department should be notified in writing giving the identities of the persons, the locations of the laboratory or office to be used, the time and dates that they are authorized to be in the building and the duties to be performed.

Unauthorized and unsupervised persons found in the building after official hours will be directed to leave the building.
