1. Agenda Review

Lisa reviewed the agenda and asked committee members if there were any additional items to add. No additions were made.

3. Acclamations and Accolades

Susan was excited to share that many classes have been scheduled in advance for the spring semester, as instructors are working the sessions into their syllabi.

Lisa shared that two faculty members contacted her about instruction sessions offered by the Library. Lisa underscored that these faculty members were proactively searching the website for a contact and that the Library is reaching people who have not scheduled instruction sessions before.

The committee welcomed Sue back from sabbatical and welcomed a new committee member, Pat Allen, who will serve out the rest of Greg Youngen’s term.

Merinda reported that she is not scheduling any open tours for the beginning of spring semester because of low attendance in past years. In anyone contacts her, she will refer them to the online and audio tours.

4. Working Group Updates

  • Copyright Instruction – The group has been appointed and will begin work this month.
  • Undergraduate Research Award – Lisa met with JoAnn, Merinda, and Susan in early December to discuss where the award would be best managed within the University Library system. The consensus recommendation is to have it managed by the User Education Committee. The committee will move forward by creating guidelines for the award.
  • Instructional Spaces – The first meeting of this group will be scheduled now that recommendations for members have been received for all divisions.
  • Advanced Composition – The first meeting of this group is scheduled in early January.
  • Rare Book and Manuscript Instructional Space – The group is investigating an alternative camera set-up. A recommendation is expected soon so that a plan for installation can be made.

5. Funding Updates

  • LibGuides Funding – Funding has been allocated to Art & Architecture, ESSL, and the Office of Information Literacy. Lisa reminded the committee that there are additional funds for other libraries if they need them. Interested librarians should get in contact with Lisa Hinchliffe. Graduate assistants who have interest in working extra hours can create and develop LibGuides or other instructional materials for libraries.
  • Megan Oakleaf Visit – Megan has agreed to visit the University Library in spring 2012. She is willing to conduct a workshop session for the Library as well as present an open lecture for anyone on campus to attend. Lisa is working with her to settle on specific dates as soon as possible.
  • Synchronous Online Instruction System – Lisa met with the Mortenson Center and they are also interested in using the system. Lisa and Beth Woodard are preparing a budget request for submittal this month. The committee briefly discussed scheduling and whether an Outlook-based room reservation system would need to be in place. At this time, virtual room reservation will be by email to Lisa and Beth. Scheduling procedures will be reassessed as demand for space increases. The committee also noted that the system supports non-Roman character sets.

6. Discussion Item

The committee discussed the initial report of the Subject Specialist Task Force (http://www.library.illinois.edu/committee/exec/supplement/s2011-2012/ SubjectSpecialistTaskForceReport.html), in particular, the group focused on the “Instruction” section. Lisa will send the committee’s feedback to the Executive Committee (EC); she also encouraged committee members to send in individual feedback to EC as well.

7. Announcements

Kirstin shared that the Music and Performing Arts Library will be implementing a new Easy Search interface that will retrieve streaming audio, articles, books, scores, and more in the results.
