Administrative Council Meeting MINUTES

February 18, 2019

Present: John Wilkin, chair; Atoma Batoma, Paula Carns, Jim Hahn (for Susan Avery), Heidi Imker, Joanne Kaczmarek, Bill Mischo, Chris Prom, Lisa Romero, Jeff Schrader, Tom Teper, Tracy Tolliver, Cherié Weible, Sarah Williams; Recording-Kim Matherly

John stated that the budget document will be discussed at EC on 2/25. Campus units without students are being asked to model reductions of 1 ½%. We didn’t have much time to get the budget document finished.

  1. Web directory inclusion policy draft – discussion (Paula Carns)

See attached.

John Laskowski, Susan Avery and Paula Carns all worked on the document.

John Wilkin is fully supportive of this. It is important to have definitions for what is included and what isn’t included on the Gateway. It is important to ensure that AC reviews and approves this proposed policy and then send it to EC to be endorsed, so that we have a thorough process and make sure we are all on the same page.

The group had a few examples and they ran them through the logic for the inclusion criteria. There is a possibility for an affiliate page, where those units not listed on the Gateway could be listed.

AC approved the policy.

  1. Library response and procedures for reduced hours during class closures, etc. – discussion (Sarah Williams)

It was determined that because this happens so infrequently and the circumstances are rarely the same, it would be impossible to have a policy. Cherié and John felt that each of the libraries handled things as efficiently and conscientiously as possible.

  1. Updates to CTAP Policy (Tracy Tolliver)

CTAP guidelines change summary

Updated language to better provide guidance in instances where faculty or staff have requirements exceeding standard specifications.

The website will be updated with the new text.

  1. Other items?

Tracy stated that the accessibility policy was accepted and approved. There will soon be a kick-off meeting to start a liaison program. IT wants to get other in the Library involved.

Tracy is aware of the scanner problems. Scanners will be replaced soon and Tracy will send a note when that happens.
