Library Staff Steering Committee Meeting Minutes
May 9, 2001

Present:  A. Conrad, L. Engels, R. Jahr, H. J. Kim, C. Kopp, P. Lindell, T. McCoy, S. McFarland, A. Schoenberg, J. Somera, G. Witte

I.  Minutes of the April 25, 2001, meeting were revised and approved.

II.  Reports

A.  Admin. Council -- Minutes posted to the Committee.  Topics were:   the retreat issues, gifts form/flow chart, patron conduct revisions, and updates to task force and committee memberships on the web.

B.  Faculty Meeting -- No meeting.

IV.  Updates/Discussions

A.  Election Sub-committee -- Tabled until next meeting.

B.  May 14 Library Retreat -- Remind staff about the retreat and encourage their attendance.

C.  Oak Street Remote Facility -- The Committee is still meeting with divisions and identifying the 'nooks & crannies' materials.

D.  Morale Document -- Tabled until next meeting.

IV.  New Business

A.  Training -- A discussion with Cindy Kelly and Bob Burger -- Discussed areas for training and development for staff and how LSSC could assist the Library's HR Office.   Suggestions included:  more introductory MS Word, HTML, MS Excel and MS Access (based on need in libraries), supervisory skills, new student DRA training, management skills, and service issues.  Other options are courses both here and at Parkland, and the Xtreme learning courses.

B.  Library Strategic Planning Committee -- It has been approved that there will be two staff members on the Committee.  One from LSSC and one from at-large.   The member from LSSC will be Lorna Engels and the at-large member has yet to be selected.  Members serve a two year term but in order have an overlapping cycle, Lorna will serve for one year.

Cataloging Policy Committee Meeting Minutes
May 21, 2001

Present:  B. Henigman (chair), M. Laskowski, T. Schnell, S. Smith

Absent:  J. Johnson, R. Burbank

I.  CSB Review

The committee reviewed CSB no. 91 (Winter 2001) and no. 92 (Spring 2001).  There were no new LCRI’s that will impact UIUC cataloging policy.  B. Henigman will write up a summary for LIBNEWS.

II.  Cataloging /Access to Metadata and Electronic Resources at UIUC

B. Henigman reported on the activity of the newly formed Access Task Force.  B. Henigman represents CPC and Library Technical Services issues as a member of the Task Force Resource Group.  Since the work of the Task Force is in its early stages, CPC compiled a list of issues that they felt were important for the Task Force to keep in mind as their work progresses.  B. Henigman will forward these issues on to J. Kibbee, chair of the Task Force. B. Henigman will keep CPC apprised as the work of this Task Force continues.

III.  OCLC Copy Acceptance Policy

    The committee worked on revising the policy approved in 1999 for accepting copy cataloging from OCLC.  Currently the policy indicates that Technical Services Processing units will upgrade all copy to Core Level before accepting the copy.  This includes both adding missing access points and verifying existing access points for conformance to LC standards.  After consulting with Technical Services and Bob Burger (who has been receiving feedback from Public Services staff and other Library units) it is clear that items are held in the cataloging process for quite a while until the staff can perform the verification required.  It was recognized that many of the items held had full copy where access points might or might not be completely verified.  The committee felt it was more important to move the items through the cataloging process and get them out on the shelf.  The policy was revised to allow acceptance of copy without stringent verification.  This revision will allow special categories of materials such as EBO and LABO to make it out on to the shelf and accessible to users in a more timely manner.  Cataloging units will continue to add access points that are lacking as specified in the current policy.  B. Henigman will post the revision to LIBNEWS.

  1.   Changes to Passport

B. Henigman updated the group on the progress of converting all cataloging units to CatMe (decision at February 19, 2001, meeting).  Conversion is coming along nicely.   B. Henigman has notified Library Administrators of impending increases in the OCLC budget for the next fiscal year and will be posting a note to LIBNEWS next week.   Library units using Passport in "search only" mode for non-cataloging activities will need to switch to the WorldCat connection via the Gateway by June 30.   Denise is preparing a handout on how to use this version of WorldCat.
