Library Staff Steering Committee Meeting Minutes
February 14, 2001

Present:  A. Conrad, L. Engels, R. Jahr, H. J. Kim, C. Kopp, P. Lindell, T. McCoy, S. McFarland, J. Somera, G. Witte

Guests:  Lori Carroll, Jane Gammon, Cindy Kelly

Welcome to the new members of the Committee:  Lorna Engels, Tonya McCoy, Sharon McFarland, Ruby Jahr, and  Jane Somera.  And thanks for all the hard work to the departing members Jane Gammon, Lori Carroll, Lucille Roberts, Diana Walter, and Jane Wiles

I.  Minutes of the January 24, 2001, meeting were revised and approved.

II.  Reports

A.  Admin. Council -- Minutes posted, highlights are:

- opening the Bookstacks
- electronic resource cataloging
- claim return policy
- billing appeals board
- bulletin boards/sign postings
- reconfig status
- coffee cart (bids out)

B.  Faculty meeting -- Minutes have been posted.

C.  Divisional news

- the proposal to move Women & Gender Resource Library to the Education Library-- discussion pro and con continues

III.  Updates/Discussions

A.  ALA Staff Scholarships -- There will be two recipients this year who will receive reimbursements of up to $1,000.00 for their attendance at ALA.  The selection group will consist of 1) Hyon Joo Kim from LSSC, 2) Cindy Kelly from Admin, and 3) Beth Trotter from staff-at-large.

B.  Staff lounge -- The general consensus gathered by the Committee is that there is not sufficient space at the present time and we, therefore, could not afford to lose the smaller lounge space.  Members of the Committee will look for ways to improve the lounges to increase efficient space utilization.

C.  Opening the Stacks -- It is being discussed at divisional meetings.   Questions include the possibility of a trial opening (an open house perhaps) and feedback forms at the exit for user comments.  Comments and suggestions should be forwarded to Central Circulation Office.

D.  Planning for the Library Retreat (for all permanent employees) is underway by a sub-committee of the Strategic Planning Committee.  It will be held in the Illini Union on May 14, 2001.  Additional details to follow as they become available.

IV.  New Business

A.  A sub-committee was formed to create election guidelines to include a timeline, sample forms, and general process.  The sub-committee will report conclusions to the full Committee.  After reviewing and revising, the document will be made available for comments from all staff.  The sub-committee consists of:   Tonya McCoy, Sharon McFarland, Eileen Schroeder, Jane Somera, Gil Witte.

B.  News from HRO with Cindy Kelly

The University administration has mandated that all civil service employees have a performance evaluation to be completed prior to March 2002.  This will have no negative impact on staff compensation.  It does require that all job descriptions are less than one year old.  Staff should view this as an opportunity to request additional training to improve job performance.  There will be open forums to provide more information to staff.  To view the campus generic forms, go to the following URL:  http//www.pso.uiuc.edu/Forms/default.htm  The one that says non-probationary employee.

Also, the revisions of the library clerk series is temporarily on hold.  The proposal to merge the library clerk line with the library technical line was opposed by the members of CODSULI (library directors)
