There was not a quorum present for the meeting.
1. Job descriptions for Division Coordinators (Kaufman)
Job descriptions for Division Coordinators were discussed briefly. There is a lot of interest in this issue, and two people have already volunteered to work on a subcommittee to examine it. Paula appointed Barbara Henigman, Betsy Kruger, and Tina Chrzastowski to make up a subcommittee to review Division Coordinators job descriptions and make any recommendations for change.
2. Retirement Agreement Policy (Kaufman)
Paula led a discussion of the UIUC Library Guidelines for Retirement Agreements. She noted that not everyone who retires asks for a special retirement agreement. The Library will follow Campus guidelines as described in these Guidelines. She reminded AC that agreements can only be made for periods from less than a year to, but not to exceed, two years. Since a quorum can be present, and there are important issues that need resolution, there will be a meeting July 3, 2:00-3:30 p.m., 428 Library.

CPAC Meeting Minutes
June 19, 2000
Present: Ann Copeland, David Griffiths, Barb Henigman, Ruby Jahr, Jenny Johnson, Mary Laskowski, Jay Lee, Lisa Romero, Tammy Schnell, Stephen Smith, Marek Sroka
Absent: Richard Burbank, Gail Hueting (on sabbatical), Nancy Miller, Fung Simpson.
I. Announcements:
Administrative Council approved the EIRC/CDC recommendation on Tangible Digital Products. In CPAC's discussion, many questions were raised regarding the application of this recommendation throughout the system and its possible extension to other media. CPAC requested that Henigman detail these questions in a letter to CDC for clarification.
Cataloging Process Task Force Report - discussion deferred in Administrative Council until July 3.
II. Providing Original Catalog Records for Reproductions of Theses
In an effort to standardize cataloging practice for these materials, CPAC reviewed the following:
Fixed fields: type =t; form = r; country = xx
Call number = always add date of reproduction as third line
Variable fields
100 = name as appears on title page unless already established by LC. Do not add
birth date unless this information is needed to distinguish from another author.
245 = title as appears on title page.
260 = subfield c only (original manuscript has no publication information)
300 = pagination in leaves (describing original) :$b as appropriate - (do not add $c)
500 = Vita (as appropriate)
502 = Thesis (level) - Name of university as on piece, date conferred
504 = (as appropriate)
530 = DO NOT USE (use only when cataloging an original piece)
533 = Photocopy. $b Publication place of reproduction :$c Publisher of reproduction,
$d date of reproduction. $e pagination of reproduction: as appropriate; size of
reproduction
A final procedure document will be distributed based on this discussion.
III. CPAC web page
TSD and CPAC web pages will link off the main page. The CPAC documentation committee has extracted policies from CPAC minutes going back to 1980 and is mounting them together with policy documentation originating from the Office of the Principal Cataloger. The policies from the 1999 CPAC minutes are still under construction and will be added at a later date.
Suggestions for the CPAC web page included a Who to Contact list, FAQ's, a survey of current cataloging tools, information on how to count statistics, mounting the statistics form up for use, links to the backlog survey and other reports.
IV. Future meetings
CPAC will not have an August meeting.
