Creating MFHD (Holdings Record)
With bib record open, click New Holdings to create and add a new MFHD (MARC Format for Holdings Data) record.
- Be sure that the first indicator in the 852 field is 8 (it should already be set that way).
- But if you are creating a MFHD for an item already cataloged with a Dewey classification number (i.e., an added copy), the first indicator should be 1 instead, so change it.
- The Location Code is set at rbx-nc. For items that are MINIs, however, the location code must be rbm-nc, so change rbx to rbm.
- In ≠h enter the shelfmark [e.g., IUA12464 or MINI03116 or Baldwin 3532] or Dewey classification number [e.g., 439.33].
- If entering a Dewey call number, insert a ≠i following ≠h and enter the cutter portion of the call number [e.g., ≠i B473j].
- Insert a ≠t and enter the copy number, which is always 1 for this project.
- Insert a ≠x and enter the date and source of acquisition of the item, usually found in the gutter of the cataloger’s page (recto of the leaf following the title-leaf). This information should be recorded in the form: ≠x Acquired: Date Month Year (Source) [e.g., ≠x Acquired: 5 November 1948 (Stonehill)].
- Save the holdings record to the database. If you have a multivolume set, see the instructions for “ Multivolume Sets”.
