It is possible that the library owns multiple copies of one bibliographic item. If you have located an existing record in Voyager for the item in hand, have inspected the other copy, have verified that the items are truly the same bibliographic entity, and have added any copy-specific notes that pertain to the new item in hand, then click New Holdings and proceed as outlined above for creating holdings and item records.

For two or more copies of uncataloged items, catalog one and then create new holdings and item records (attached to same bibliographic record) for each subsequent copy. The shelfmarks will be sequential (e.g., IUA11845, IUA11846) and each item is considered copy 1 in its holdings record. This departs from regular Library policy of using the same classification number and adding cop. 2, etc. for added copies.

When more than one copy is represented by a single bib record, be sure that all copy-specific notes are identified by the shelfmark or call number of the particular copy to which they pertain.

Example:

  • 500 IUA10255: From the bequest in memory of Charles A. Denison and Charles N. Denison. ≠5 IU-R
  • 500 232.5 T456g: Margins closely trimmed with some loss of text. ≠5 IU-R

If a Dewey classified book has been retrieved from the RBML collection for recataloging, type a new call number flag for the Dewey book and attach a barcode to it. Scan the new bar code into that book’s Item Record.
