Draft charge for Working Group on Voyager Performance Issues:

Investigate ongoing issues with slow response time in Voyager and its impact on staff productivity and our ability to deliver materials to users promptly.  Discuss with CARLI the limits we face on database maintenance activity, batch loading, and bulk imports/exports due to the impact of these activities on system performance.   Review impacts in both tech services work areas and at circulation desks and other public service desks where users are assisted with circulation functions.   Report findings and recommendations to CAPT by  mid-March 2011.

b.  Request to load CRL records into Voyager catalog (15 min.)

Good afternoon,

This note is being sent to your library’s I-Share Liaison, and Technical Services and/or Catalog Maintenance contacts, with a CC to your library’s contact person regarding your membership in the Center for Research Libraries (CRL), if different. Please share this information as appropriate within your library.

Sixteen I-Share participant libraries, including yours, are also current members of CRL. One benefit of this membership is no-charge access to MARC records for the entire CRL database (1.3 million records as of 2008).  The CARLI Office will be working with its CRL members to discover ways to leverage access to the full CRL database.  But as of September 9, 2010, CARLI is pleased to announce our ability to support the loading of bibliographic records for CRL-digitized materials into the databases of those I-Share libraries that are also CRL members, IF your library wishes to load these records.   FYI, I-Share libraries are not required to load these records into your local database, but CARLI staff can load them on behalf of libraries that request the load. There are 12,338 bib records in the initial monographs file and 1,027 bib records in the initial serials file.  CRL also issues quarterly updates, which will be processed automatically for the libraries that request the loads.

In addition, we have created a supplementary document that contains some example bib records from the initial CRL digitized collection monographic and serials files. Library staff who will be planning your CRL digital collection load of MARC records are encouraged to review the Examples document in conjunction with the load document cited above.  The document entitled “Example Bibliographic Records for the CRL Digitized Collection” is available from the URL below:

NOTE: because these loads are only applicable to 16 of the 76 I-Share libraries, we are intentionally not linking the CRL load documentation prominently from our website, to avoid confusion for libraries not eligible for these record loads.

There are many customization options available to each library for the load of the MARC records for the CRL digitized collection.  Therefore, your library will need to file a Work Request Online (WRO) to initiate the load of these records into your Voyager database.  All I-Share Liaisons and Library Directors have privileges to file a WRO on behalf of your library.  Liaisons/Directors should contact the CARLI Office if you have any questions about your WRO account or using WRO.

We have a “new” WRO form (implemented earlier this year), called “Voyager Bulk Import for Electronic Resources ONLY.”  This WRO form is designed to help the library think about and to specify the different customization options available for e-resource record loads in particular.  When your library is ready for your CRL digital collection record load, please be sure to use this new WRO form.

The information below is paraphrased from the load documentation cited above, and is included here to give you advance information about the steps needed to get these records loaded into your Voyager database:

Summary of Implementation Steps

  1. Review “Loading Bibliographic Records for the CRL Digitized Collection into I-Share Voyager Databases” and the “Example Bibliographic Records for the CRL Digitized Collection”.
  2. Create a specific e-resources location in Voyager SysAdmin, if needed, as recommended by the CatER2009 Task Force.
  3. Decide which CRL digital collection load customizations will work best for your library.
  4. Complete the System Administration requirements as described in the “Loading Bibliographic Records...”  document.
  5. File a WRO as described in the “Loading Bibliographic Records...” document.
  6. Review the test load of 10 records per file and the load log files.
  7. Approve the 10 record test load(s).
  8. After the full load has been completed, enjoy the new CRL digitized collection records in your local database!
