Copy-Specific Notes: Summary & Examples

Information describing unique aspects of a specific copy will now be added to the catalog in the holdings record (MFHD) rather than in the bibliographic record, following discussion at the Cataloger's Working Group meetings. Information that describes all copies will remain in a bibliographic general note in field 500.

Examples of when such notes would be warranted include: information about the piece being a specified number of a limited edition; an autographed copy; or slight variations in printings, such as an offprint of a larger work, or missing pages.

Some departmental libraries use additional fields to describe features important to their collections. This includes Rare Book cataloging, which uses MFHD 561 (Former ownership history) and 563 (Binding notes). Also, Media cataloging is adding a "Terms of Use" 845 field in the Holdings records for their video collection. These types of notes are outside the scope of more general cataloging , so have not been included in the following examples.
