Copy Cataloging of Monographs

With the book in hand:

Search Voyager by exact title (more precise) or keyword title. If no matches are found, search by ISBN number. If still not found, locate a record in Connexion and import it. If no record can be found, place book on the "Not found" shelf for original cataloging.

Note: If the record for a book has a volume number in the 245 field, search the series title (in the 440 or 830 field) to make sure that it isn't part of a monographic set. The title for the set may also be the same as the one in the 245. If it is part of a set, suppress the individual volume record, and add the volume to the set record.

Replace short order records (those with no OCLC number) or incorrect records if necessary. If a different OCLC record is used (i.e., for an individual volume), remove UIU holdings in OCLC for the record not being used. If duplicate (and uncataloged) records are found, suppress one. Prefer the record with the matching purchase order, unless the other record has already been cataloged.

On the bibliographic record, click on the Systems tab. Remove the checkmark from "Suppress from OPAC", and select "Ok to export". In the 049 field, delete ≠u nouc. Check the record for accuracy and completeness, referring to the list of Core Requirements . Edit the record as necessary. This sometimes includes editing urls in 856 fields .

Save the bibliographic record to the Database (click on the sailboat icon at the top center of the window). An Authority validation window will open. If any of the name headings are "Non-Authorized", follow instructions for NACO work. Non-authorized topical subject headings should be corrected by referring to the red LCSH books or the subject authority file in Connexion. Click on the Continue button.

Determine whether the call number should be constructed using special rules.

If it falls in the above categories, follow the instructions on the referenced documentation. For all other books, use any suggested Dewey 22 number in the 082 field or 092 field, after checking the number briefly in DDC for typographical errors. The classification number should not exceed 11 digits (8 digits after the decimal point); the slashes in the suggested number are helpful for knowing where to shorten numbers. If there is no suggested Dewey 22 number, use the subject headings to construct one.

Use the Dewey cutter program on your desktop to create a cutter line. If there is an author in a 100 (or 110 or 111) field, create a cutter line from the author's name, and add a workmark from the first word of the title, omitting articles. If there is no 100/110/111 field, use the first non-article word from the title to create a cutter line, with no workmark.

Check the call number in Voyager for uniqueness. If the call number is a duplicate, add a digit or digits to the cutter number to make it unique. [note: If an author has previous books in the same classification number, only the workmark would be different. If an author has a previous book in this classification with the same first title letter, add to the workmark to make it unique]

Write the call number in the book in the upper left corner on the page following the title page. If this is the first copy, omit the copy number from the book; for subsequent copies, add "cop._" In the upper right corner of the page write the owning library if it is a departmental library (not Bookstacks). This should be the actual name rather than the three-letter library code. Make sure that the book has a blue streamer with the three-letter library code if it is not going to the Bookstacks.

Click on "Get holdings". If an order MFHD exists for the item being cataloged, and it is the only MFHD, it will be opened. If more than one MFHD exists, it is necessary to choose it (highlight and click on Retrieve). For books with approval streamers, the order holding will have the location "acqapp". If no holding record exists, click on "New", and enter all the information into the MFHD. Verify that the 852 first indicator is 1 (for DDC call numbers)

If the MFHD is suppressed, click on the Systems tab and uncheck "Suppress from OPAC". Save the changes ("Save to Database")

Create a label by clicking within the 852 field and typing <Ctrl><F12>. Make sure to move any suffixes or years in the call number to the next line of the label template.

Click on "New items." Scan in the barcode on the book. If there is none, affix one to the upper right hand corner of the back. If the location is non-circulating, the item type should reflect this (usually "Book Nocirc") Make sure that your preferences are set up so that the item has a status of "In process". This can be verified by clicking on the hierarchy button, and is only necessary to check once. If item statuses need to be changed, use the little graph in the bottom left corner. Also, make sure the copy number at the bottom of the item record is correct. Click on the Save to Database button. Note: If the item preferences need to be changed, go to the Options menu, choose preferences, then item defaults, and make necessary changes.

Set the book aside to be placed on the labeling truck, and proceed with the next book.
