Process for Suppressed Records

A discussion was held at the Aug. 25, 2008 cataloging meeting pertaining to the extra bibliographic records and MFHDs entered in the catalog in error through various ordering processes. The following are the decisions.

  1. If the bibliographic record and the MFHD are not going to be used, suppress both the bib and MFHD records and add ZSUP to the beginning of the 245, also add the original title in a 246 to the bib. Remember to change the second indicator in the 245 to 0 (zero).

    If you are now using a different OCLC record (for example, a set record instead of records for individual volumes or a full record instead of a vendor record), please remove our holdings from the record(s) not being used. IConnexion has a toolbar button for this, or use Action>Holdings>Delete holdings.

  2. If the bibliographic record will or has been used but the MFHD will not be used, suppress only the MFHD and add note in the MFHD:

    852  8 blank character  ‡b loc. ‡h DO NOT USE THIS MFHD. ‡x MFHD created in error.
