How do I look up serials check-in information for serials checked-in centrally ?

Serial check-in information can be viewed in both the OPAC and the Voyager Acquisitions module:

  1. Most serials that are checked-in centrally now display unbound issues in the OPAC on the line Library Has (Recent).   Once issues are bound, the bound volume will appear with the other volumes on the line Library Has (Volumes) and the individual recent issues will disappear.
  2. Some titles may not have any recent issues displayed in the OPAC.  This will happen if all issues have been bound or if the serial is not yet checked-in using Voyager.
  3. For in-depth information about individual issues or titles checked-in centrally, you will need to open Voyager Acquisitions.  Use the following information to log on:

    Password: only
  5. When prompted to “select a receiving location,” highlight your unit or choose Acquisitions.

  6. If this is your first time using Voyager Acquisitions on a particular computer, then you will need to set your Voyager Acquisitions client preferences and workflows.  See the document Acquisitions Preferences and Workflows for Fund Managers and Ordering Staff (restricted to UIUC Library staff).

    Most importantly, make sure to check “Automatic truncation for non-keyword searches” under Tools / Workflows / Searching.

     

  7. Click on Check-In on the list bar on the left-hand side of the screen.

    To view which issues of a title have been received in Acquisitions, click on Serials History.  Enter either the title or the ISSN of the journal and click search.  If more than one title is returned, pick the title with holdings at the appropriate library.  (If no titles are returned, then the journal may be received directly.)  

    • The Receipt History tab shows which issues were received in Acquisitions and on what date.
    • The Claims History and Problem History tabs identify issues that have been claimed or are late.  Skipped issues are also displayed.
    • The Payment History tab shows which invoice the journal was paid on, as well as the invoice date, the vendor name, the voucher ID, and the cost of the title.

     

    To see any notes that the check-in staff might use when processing a title, click on Serials Check-In.  Any check-in notes will be displayed, and future expected issues can be seen.

    To see the binding history for a title, click on Bindery Maintenance on the left side of the screen and look up a title.  If multiple titles are returned, select the one for the appropriate location and then click Bind.

    The pull-down box by Edit Volume displays the enumeration on the bound volumes.  Once an issue is selected for binding, it disappears from the Issues Available for Binding box and is instead displayed in the Issues Bound in this Volume box.

     

  8. To look up another title, click on Start Overin the bottom right-hand corner.
